Question 1.  RFP 17057 Fleet Management Software page 2 refers to Exhibit A Technical Specifications. That is not included in the PDF download. When will Exhibit A be made available?

Response:  There is no Exhibit A for this RFP. 

Question 2.  Whether companies from Outside USA can apply for this? 

(like,from India or Canada)

Response:  Yes.

Question 3.  Whether we need to come over there for meetings?

Response:  Unknown at this time.

Question 4.  Can we perform the tasks (related to RFP) outside USA?  

(like, from India or Canada)

Response:  Unknown at this time.

Question 5.  Can we submit the proposals via email?

Response:  No.

Question 6.  What is the estimated cost of the fleet management system?

Response: $120,000.

Question 7.  Has budget funding for this effort been approved?

Response:  Yes.

Question 8.  Can you clarify the budget in Q-6? Is that a for software license, software implementation or both?

Response:  This is the project budget.

Question 9.  Does the estimated $120,000 cost of the fleet management system include training and yearly maintenance fees?

Response:  This is the project budget.

Question 10.  What is the current system in use?

Response: Faster Asset Solutions.

Question 11.  What is the fuel management system in use?

Response:  OPW.

Question 12.  Does the County bill departments for usage of vehicles and costs as an internal service fund or replacement fund?  If so, is it the County’s plan to pass these charges to the finance application as a batch/electronic process or generate a monthly report?

Response:  No, we charge back departments for service.

Question 13.  What is the scope of existing fleet information to import into the new software?  If history is required, how many years?

Response:  We would like all data imported into the new software system, 18 years of historical data.

Question 14.  Should an interface with the County’s fuel system be included in the scope/pricing?

Response:  Yes.

Question 15.  Lake County maintenance operations currently utilize a fleet maintenance software system that is capable of tracking approximately 1400 assets.

o What is the breakdown of the 1400 pieces (Sedans, plow trucks, heavy construction equipment etc.)?

Response:  PV  157, 282 light duty 1 vehicles , 121 light duty II vehicles ,37 Medium duty , 39 Heavy vehicles ,177 light equipment.

Question 16.  Who is the County’s bulk fuel provider? - Does the County employ fuel procurement card system? If so, who do they use?

Response:  Mansfield oil.

Question 17.  Do you currently have a Oracle eAM Enterprise software license?

Response:  Lake County is currently using Oracle eAM, however the Division of Transportation is not utilizing the software.

Question 18.  Of the 1400 assets that is sites in the General Information section, under item 3, Current Environment, how many are: (1) Active parent assets (not to include child assets) that are being maintained and tracked in your fleet maintenance tracking system which were originally valued at $5000 or greater?  Active parent asset originally valued at less than $5000 and more than $500?

Response:  This information is not available at this time.

Question 19.  Are vehicles where fuel data is tracked in the fleet maintenance tracking system?

Response:  Fuel data is tracked in our current fleet software program.

Question 20.  Scope of Work bullet point one states: Provide a fleet maintenance software program and all necessary hardware.

It is impossible to give a cost for necessary hardware without what is need and Lake County’s specs for said hardware (e.g. file servers, web servers, laptops, tablets, printers, bar code readers, pointing devices, etc.).

Response:  Lake County wanted to ensure that proposed software will work in our current environment with our current hardware. If the software requires specific hardware please quote new hardware.

Question 21.  Please clarify the fleet breakdown disparity (814 vs. 1400 units)?

Response:  2 BT, PV 157, 282 light duty 1 vehicles , 121 light duty II vehicles ,37 Medium duty , 79 Heavy vehicles ,192 light equipment, 95 Handheld equipment, 73 Trailers , 168 Winter equipment , 30 Heavy Equipment, and the rest of the 1400 assets are utilized for buildings and grounds.
